The successful candidate will be responsible for the following duties:
1.Check the cleanliness and hygiene situation of the company premises and ensure they are kept clean at all times by :
•Sweeping/mobbing of the office floors and general surroundings.
•Cleaning and dusting ALL office furniture, removing dust and dirt from ceilings, walls, and removing rubbish and recyclable materials from thrash baskets.
•Keeping the kitchenette clean always.
•Make facilities and other equipment clean.
•Ensure thorough removal of stains and dirt on floors, tables, chairs and any other things in the office.
•Implement easy sterilization processes such as cleaning and disinfecting general floor and bathroom fixtures.
•Replenishing supplies and reporting defective fixtures around the office.
2.Report to management whenever extensive repairs and other important renovations in the work area and office need to be done.
3.Pay attention to present and probable issues if any, and report this to the head of Admin immediately discovered.
4.Supply and manage office equipments, machines or properties and, kitchen utilities.
5.Record, monitor expenses, raises monthly invoices.
6.Achieves financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances.
7.Create, control, and monitor all administrative requirements of other departments.
8.Manage administrative department, resource requirements and maintain a safe and secure work environment.
9.Maintain stationary supplies and coordinating deliveries.
10.Office expense management: water, electricity, fuel, stationeries and logistic support.
11.Commencing resumption and closing of business daily by :
(a.)Ensuring security consciousness always by opening and locking all entrances and exits to the office premises as well as closing windows at the close of business every day.
12.Ensure rules and procedures in place regarding working hours, resumption, lunch, office closure and communications about security.
13.Accomplishes staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.
14.Anticipate flops and errors in the organization’s daily activities and determine adequate measures to fix them accordingly.
15.Being proactive on every administrative running on a daily basis.
16.Accurate dispatch/delivery of goods when necessary.
17.Running of Administrative errands as exigency demands.
18.Perform errands that assist daily office functions.
19.Maintains supplies by checking stock to determine anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
20.Maintains equipment by completing preventive maintenance; calling for repairs; monitoring equipment operation; monitoring and purchasing meter fund.
21.Maintains office schedule by picking-up and delivering items.
22.Welcome visitors in a friendly manner by greeting them, in person or on the telephone; answering or referring inquiries
23.Maintains security by following procedures; monitoring visitor access, issuing visitor badges
24.Maintains safe and clean reception area always by complying with procedures, rules, and regulations
25.Ensure knowledge of staff movements in and out of organization.
26.Deal with queries from the public and customers verbally or via phone/emails.
27.Receive and sort mail and deliveries.
28.Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
29.Maintain appointment diary either manually or electronically.
30.Organize conference and meeting room bookings.
31.Co-ordinate meetings and organize catering.
32.Monitor and maintain office equipment.
33.Control record relevant to reception area.
